MOVE BIKES via Hubspot

Hi Team!
 
Last friday and today some teams already tried it out: The Move Bikes Process can now be fully done via Hubspot for FOCUS! Quite a long mail - But you can stop reading after the short version instruction. For those who are interested in all the details, I've added a long version below as well.
 
Thanks also to Linas, Sebastian and Lukas (KH) for drafting the process with me.
 
This is how it works (Short Version):
 
Using the Move Bikes Company View :
  1. A new Company View "Move Bikes" replaced the old Move Bikes Google Sheet
  2. The View is filtered on active FOCUS dealers, that
    • are blocked for deliveries
    • Have an available quantity in the next 2 month 
--> Every Lead of a Move Bikes Call should copy this view and add filters like Country or Company Owner according to your needs. You can then save this new view for your individual Move Bikes Call. 
 
       3. To understand the exact blocking reasons, please check the columns
    • Delivery Block Code Sales Org SAP ( @CuCa: This is the block field in transaction VD05)
    • Credit Limit Balance --> if negative = block (for dealers without purchasing group)
    • Dunning Level --> if 2 or higher = blocked
        4. All columns that contain a quantitiy are currently manually updated by Linas every Monday and Friday (same as with the Google Sheet)
 
Creating Notes and Tasks
  1. Notes can be added directly in the View in the property / Column "Notes: Move Bikes"image.png
  2. Tasks can be created via the "Preview" Function for each Company. Please always use "MB" in the task title for tasks related to Move Bikes Callsimage.png
  3. in the Preview, you can also filter on MB and will see a history of all previous tasks for Move Bikes
  4. Currently for the German teams separate tasks queues exist for the Move Bikes Calls. For the other teams. the normal customer care / finance queues can be used a. Please let us (Jana / me) know, if you also want to have separate task queues for Move Bikes tasks.image.png

Long version
 
In the following, I'll describe the Company View and Move Bikes Process in Hubspot in detail.
 
Using the Move Bikes Company View:

The structure of the Move Bikes Company view resembles the structure from the Move Bikes Google Sheet, but with ony the main information for the start. Other information can be added in the future, if requests come up.

Columns:

  1. Company Name

  2. Client Number (sticky)

  3. Company Owner --> Account Manager

  4. Purchasing Group --> relevant for Credit Limit

  5. Delivery Block Status

  6. Delivery Block Code sales org SAP --> SAP transaction VD05

  7. Blocked Quantity --> manually updated

  8. Available Quantity (next 2 month) --> manually updated

  9. Credit Limit

  10. Open Credit Limit

  11. = Credit Limit Balance --> if negative, check if Nr 10 "Open Credit Limit" is positive --> This amount could be shipped still manually within the credit limit

  12. Dunning Level

  13. Notes: Move Bikes --> to be filled or overwritten in the call if needed

  14. Delivery Block Date Sales Org SAP --> Date since when the block is set

  15. Invoiced Qty Last week

  16. Invoiced Qty (-2 weeks)

  17. Invoiced Qty (-3 weeks)

  18. Invoiced Qty (-4 weeks)

→ Country is not visible as column, because the teams will probably filter on the country anyway

→ all other missing information from the Move Bikes Google Sheet is not visible, because it was not considered relevant for now

Filters:

Please copy the view and add your team filters, like Country. You can save the new view for your Move Bikes Call team then.

Preparation of the Company View before the Meetings

These Columns (properties) need to be updated via a manual Import - done by Linas.

  • blocked quantity

  • available quantity today + 2 month

  • invoiced qty last week

  • invoiced qty (-2 weeks)

  • invoiced qty (-3 weeks)

  • invoiced qty (-4 weeks)

Process during the Meeting

When a dealer is discussed, the “Preview” Function is used to create tasks and review the task history. Recommendation: Always use a Prefix for the Task name to quickly filter on related tasks, e.g. MB (= Move Bikes)

If the teams want to use an own Move Bikes Task Queue or their normal Team Task Queues is their choice.

If no task is needed, a note can be added directly on the Company view in the property “Notes: Move Bikes”

Decision was made against Note-Function, because these Notes are too specific and short term / no history is needed. Also: Editing a property is quicker than creating NotesH
